Add Flyers to Your Monthly Mailings without Increasing Your Postage Costs

Does your company regularly mail statements and invoices to customers? If you currently outsource this type of direct mail application, you might be missing out on a great opportunity to advertise new products and services to your current customers.

A “buckslip” is an example of an insert. Buckslips are flyers that are 3 1/3 x 8 ½. Print and mail companies can print buckslips as well as insert them into your mail pieces. This is a great option for customers that mail invoices or statements because you have a captive audience who you know will open the mail piece.

Experienced fulfillment and direct mail services companies, like Triadex Services, can insert pretty much anything you want. As long as it weighs less than 1 ounce, the postage stays the same price.

Automating Your Print & Mail Needs

Last week we discussed how easy it is to begin outsourcing your print and mail needs. Outsourcing your print and mail needs will save you both time and money so you can focus on what you do best.

Internet-based invoice printing and mail services allow you to outsource invoice printing to a print and mail expert without ever having to leave your office. Not only that, print and mail experts such as Triadex Services automate the monthly process so you don’t have to worry about a thing.

With Triadex Services, the process of outsourcing your printing needs is easy, safe, and secure. However, there are some things you can do on your end to help automate the process.

File names are extremely important when uploading your files. In order to automate the process, programming departments need you to follow certain patterns. An example of this would be “INVdate.csv” or “STMdate.csv”. Along with keeping your file names consistent, it’s also important to keep the file formats or extensions used to be the same.

Is Your Print and Mail Company SAS 70 Certified?

SAS 70 (the Statement on Auditing Standards No. 70) is an auditing standard auditors must use to ensure organizations, such as print and mail companies, have complete control of any data that they are processing for their customers.

According to an article entitled, “What is SAS 70 Certified and What is the Difference Between Type I and Type II?”, Amy Nutt says that “This extensive audit measures that the organization has total control and has safeguards in place that does not compromise any data that they process for their customers. In other words, the job of the audit is to evaluate every aspect of the service organization that handles customer data or could result in a possible leak of customer data.”

Companies that are SAS 70 certified compile all information gathered during the audit into two different types of reports: Type I and Type II.

According to Nutt, “A type I report takes the organizations description of their own controls at a certain point in time and describes those descriptions. The report includes the report by the independent auditor, which is simply the auditor’s opinion, and it includes the organization’s descriptions of their internal controls.”

The main difference between the two different reports is that with Type II it is mandatory for the auditor to perform tests and record the results of those tests. This is optional with type I.

Your business will benefit from SAS 70 because it allows an unbiased individual to ensure that your data is safe. Experienced print and mail companies such as Triadex Services offer both types of SAS 70.

Cash Flow Issues with In-House Billing

Studies have shown that outsourcing print and mail needs can save businesses both time and money.  Businesses that choose to manage their own printing services could run into issues with cash flow.

In an article entitled, “In House or Outsourced Medical Billing: Which Model is Right for your Medical Practice?”, David George discusses the pros and cons of both in-house and outsourced billing models.  According to George, “Approximately one third of independent health care practices utilizing an in house medical billing model experience cash flow issues ranging from periodic to persistent. The degree of action required by a provider to resolve his/her cash flow issues may range from a simple adjustment (adding staffing hours) to a complete overhaul (replacing staff or switching to an outsourced medical billing model).”

If your business currently handles your print and mail needs in-house, you have the ability to easily monitor the performance of the model to determine if it’s actually the right choice for your business.  If the negatives outweigh the positives, it’s time to consider partnering with a professional print and mail company.
