Why Companies Choose to Outsource Their Print & Mail Needs

Are you thinking about outsourcing your print and mail needs?  Whether you’re looking to mail invoice printing, statement printing, collection notices, card mailers, or postcards, you should weigh the advantages of outsourcing the work.

In a blog entitled, “Reasons To Outsource – Why You Should Outsource Most Of Your Business Tasks,” Pete Miguel explains why many companies are deciding to outsource many of their in-house needs.  Miguel says that “Being able to re-channel or redirect the company’s resources towards activities that enhance the more important aspects of the company is one of the more compelling reasons to outsource certain tasks. Therefore, the more important functions within the entire business are definitely improved, making the company more efficient not only in terms of expenses but in terms of structure and organization.”

How to Select a Print and Mail Company

When you are deciding which company to outsource your print and mail needs, it’s important to know that not all online printing services companies are the same.  While some might offer cheaper rates, they may not provide all of the services you need to timely and accurately send out your mailings.

When selecting a printing and E-billing print service company, it’s important to question whether or not the company is a one stop shop for all of your printing and mailing needs.  If not, there’s probably a different company out there who does.  Why partner with several different companies when you can find one that can do it all?

Although prices and rates are extremely important when selecting your printing services company, make sure to find out exactly what services you’ll be paying for.  Even though something is cheap, if it’s not what you need to get the job done, it’s a waste of money.

Save Money by Limiting Your Mail Pieces to Fewer than 7 Pages

Last week, I told you a story about a customer who was able to lower their postage costs by changing the paper stock used in their application.  By using a lighter weight paper, their multi-page invoices were brought down to one ounce, which lowered their postage rate.

Another way to save money on postage is by limiting the number of pages in your mail pieces.  Here at Triadex Services, if the piece must contain more than seven pages, a 9×12 envelope is used instead of the standard #10 envelope.  The cost for 9×12 envelopes (as well as postage rate) is higher than #10 envelopes.  In addition, because 9×12 envelopes have to be stuffed by hand, the processing costs also increase.

Keeping your mail pieces to fewer than seven pages will save you money on envelopes and processing.  For more helpful information about printing and mailing, click here.  Or, click here to receive a free quote now.

How to Keep Your Postage Rates Down

Recently, we had a customer join Triadex Services after leaving their current print and mail vendor who continually made errors.  After we finished programming her application from the ground up, we provided the customer with both electronic and physical samples of their invoices.

While reviewing the samples, the customer noticed that the postage rate for some of their multi-page invoices increased, which is an issue they didn’t have with their old printer.  The postage rate for these invoices increased because they weighed over one ounce.  We found that by simply using a lighter paper stock, we were able to fix the problem.

What does this mean to you?  If you’re looking for ways to cut down on your postage costs, contact your printer to see if you can use a lighter weight paper.  Who knows, the small difference in weight might bring your total monthly costs down considerably, and who doesn’t want that.
